The Martin-Luther-University Halle-Wittenberg takes the protection of your personal data very seriously. We want you to know when we collect which data and how we use it. We have taken technical and organisational measures to ensure that the data protection regulations are observed both by us and by external service providers. The following statement provides an overview of how we guarantee the protection of your personal data and what kind of data is collected for what purpose.

As we continue to develop our websites and implement new technologies to improve our service to you, changes to this privacy statement may also become necessary. We therefore recommend that you re-read this data protection statement from time to time.

contact inquiries

Any data you enter in our contact forms will only be used to contact you and to process your enquiry. To contact you, we use the form of address, name and e-mail address. Further information is optional.

Access to the website

Every access to the website is automatically saved in a log file. The information that the browser automatically transmits to the server is stored in the log file. These are:

  • Browser type/ version
  • operating system used
  • Referrer URL (the previously visited page)
  • Host name of the accessing computer (IP address)
  • Time of the server request

The log data cannot be assigned to specific persons. These data are not combined with other data sources. The data is also regularly deleted after a statistical evaluation. The data is stored on servers of the computer centre of the University of Halle. Access is only possible to a few specially authorised persons who are involved with the technical, commercial or editorial support of the servers.

Piwik / Matomo usage statistics

On the website Piwik / Matomo is used to determine usage statistics. The collected data is stored on servers of the computer centre of the University of Halle. They serve exclusively to improve the website. It is not possible to trace back to certain persons and the data will never be passed on to third parties. Piwik / Matomo requires JavaScript to store the data. If JavaScript is allowed for this website, the following data will be collected:

  • IP address (anonymized, only the first 16 bits of 32 bits are stored in plain text)
  • time of access
  • dwell time
  • pages visited
  • Origin (Referrer)
  • Operating system and browser
  • installed plugins and screen resolution

If JavaScript is not activated, this data is not saved. Furthermore, it is possible to object to the collection of usage statistics via the following opt-out:

Disclosure of personal data to third parties

Data recorded during access to the website will only be transmitted to third parties if required to do so by law or court order or if disclosure is necessary in the event of attacks on the university’s Internet infrastructure for legal or criminal prosecution. They are not passed on for other non-commercial or commercial purposes.

Use of cookies

Cookies are used within the website. They serve to make our website more user-friendly, effective and secure. Cookies are small text files which the browser stores and which are stored on the user’s computer. So-called “session cookies” are automatically deleted at the end of a visit to the website. Most browsers are set to automatically accept cookies. However, you can deactivate the storage of cookies or set your browser so that cookies are only stored for the duration of the respective connection to the Internet.

Persons under the age of 18 should not transmit any personal data to us without the consent of their parents or legal guardians. We do not request personal data from children and young people. We do not knowingly collect such data and do not pass it on to third parties.

Rights of the user: Information, correction and deletion

Upon your request, you will receive information free of charge as to what personal data has been stored about you. You have the right to have incorrect data corrected and your personal data blocked or deleted.

Our online offer contains links to websites of other providers. We have no influence on whether these providers comply with data protection regulations.

Legitimate Interest

The data processing is based on the following interests:
– to present the IBZ and the community life of its tenants
– to provide a service to quickly establish contact and for users to raise concerns

Categories of Recipients

Your personal data shall be transmitted to contract service providers commissioned by us and to the accounting/finance department.

Transfer to Third Countries

No transfer to third countries shall occur.

Length of Storage

Your personal data shall be erased as soon as they are no longer required for the aforementioned purposes. This may include, among other things, the storage of any claims we may assert against you until the statute of limitations has expired. In addition, your personal data shall be stored as long as we have a legal obligation to store and provide proof of this. The storage periods are therefore up to 10 years. Rejected or inoperable rental requests shall be erased within 1 – 3 months after processing the request.

Rights of the Data Subject

You have the right to request information at any time about the personal data stored by us and assigned to you (Art. 15 GDPR). In addition, you have the right to rectification (Art. 16 GDPR), erasure (Art. 17 GDPR), restriction of processing (Art. 18 GDPR), data portability (Art. 20 GDPR) and objection (Art. 21 GDPR).

Right to Lodge a Complaint with a Supervisory Authority

You have the right to lodge a complaint with a supervisory authority (Art. 77 GDPR) if you believe that the processing of your personal data is unlawful.

Obligation to Provide Personal Data

There is no obligation to provide your personal data. However, personal data is required for the initialisation and support of the tenancy as well as to process your enquiries. If you do not provide us with the data, you will regretfully be unable to use our rental offer and our contact options.
